How to organize rental receipts for tax time
A charge labeled “hardware store” may be easy to recognize today. Months later, it can be hard to remember which property it belonged to or what you bought. A useful rental record keeps the bill and its context together while those details are still fresh.
You can use this approach with a folder and spreadsheet, or with a record-keeping app such as doorledge.
Keep the document with the explanation
For each purchase, keep the original receipt or invoice, the date, the vendor, the property and a short description. “Replacement smoke alarm for upstairs hallway” is more useful later than “supplies.” If a bill includes personal purchases, preserve the full document and record the rental portion separately.
Review any details extracted from a scan. A faded receipt can produce a wrong amount or miss part of a vendor name. Having the original beside the entry lets you check it without searching through another folder.
In doorledge, you can scan a receipt or import a selected PDF or image. From an attachment in Mail, use Share → doorledge → Save for review. Open doorledge and check the draft in Records before saving it. This imports the document you chose; it does not give the app access to your mailbox.
Leave yourself a way to find it
Use the same property name across records. Keep a recognizable vendor name and add a note when the document alone does not explain the work. For an invoice from ABC Pest Control, for example, the property and a note such as “September service, backyard unit” provide useful context.
You can search doorledge's saved records by vendor, property or recognized receipt text. Text recognition can miss words, so retain the original rather than relying on search alone.
A short review while the month is still familiar can uncover an unreadable receipt, a duplicate entry or a purchase assigned to the wrong property. Resolve those questions while you can still remember the transaction.
Prepare a copy you can review
At year-end, choose a year and property in Records → Export. You can share a spreadsheet by itself or a package with year summaries and saved original receipts. Keep booking-platform statements and bank records alongside this material: recorded income in doorledge does not reconcile those statements or deposits.
If you publish an accountant link, review the included originals first. A mixed receipt may expose personal purchases. The link contains a dated copy, expires after 90 days and can be closed sooner. Later edits on your phone do not update that copy.
